School photography with a personal approach
School photography works best when pupils feel comfortable, staff know exactly what is happening and parents receive photographs that feel natural and recognisable.
Calm, well-organised photography for schools across Yorkshire
I offer a friendly, straightforward alternative to large school-photography companies. Your school works with an experienced, named photographer who takes time to understand what you need, and who arrives prepared to make the day run smoothly.
The aim is to make the process easier for school, more relaxed for children and simple for parents.
A photographer your school can get to know
When you book Tom Handbury Photography, you know who will arrive on photo day and who will be responsible for the work before and afterwards.
I have more than 20 years’ experience photographing children and families. My approach is calm, warm and efficient, helping pupils feel at ease without losing sight of the school timetable.
You have one clear point of contact throughout. We agree the arrangements in advance, parent communication is prepared for you, and I handle the photography, galleries and ordering process.
School Photography Services
-
Natural, consistent portraits of individual pupils, with sibling photographs included where required. The schedule is planned around pupil ages, school timings and the practicalities of moving children through smoothly.
-
Staff portraits can be incorporated into the school day for the website, internal records or other agreed uses. MIS-ready pupil or staff image files can also be supplied where required.
-
Class photographs, year groups, sports teams and other agreed groups can be offered. We’ll decide beforehand which groups are needed and how they can be organised with the least disruption.
-
A separate photography session can be arranged to create natural, up-to-date images for your school website, prospectus, brochures and other communications. We’ll plan the shoot around the story you want to tell, capturing pupils, staff, learning, activities and the character of the school without making the day feel staged.
-
Photography can be adapted for nursery pupils, leavers and smaller prom celebrations, with the same calm approach and secure online ordering for families.
-
Schools and PTAs can also host family portrait events at Christmas, in summer or at another suitable point in the year. These are organised separately from the main school photography day and can provide a useful fundraising opportunity.
Photographs that feel like the child
A school photograph should feel recognisable - a reflection of the child as they are.
Some pupils are confident straight away. Others need a little more time, a quieter approach or very simple guidance. I work gently with children of different ages and personalities, including those who feel anxious, sensitive or uncomfortable being photographed.
The process still needs to be efficient, but efficiency doesn’t have to mean rushing children or treating the day like a production line. The aim is to create warm, natural portraits while keeping photo day manageable for staff.
A Simple Process
We begin with a conversation about what your school currently does, what works well and what you would like to improve.
Once the date is agreed, your school completes one onboarding form covering the photography required, timetable, pupil flow, room and access arrangements, safeguarding requirements and any particular needs I should understand.
I prepare the proposed running order and parent communication, so school staff are not left to create everything from scratch. Pupil information is transferred through an agreed secure route.
I arrive with the agreed schedule and practical arrangements already clear. Photography is organised around the school day, with time adjusted for different ages and the needs of the pupils being photographed.
A member of school staff remains available to support pupil movement and safeguarding, while I concentrate on keeping the photography calm, consistent and efficient.
Families receive clear instructions for viewing and ordering through a secure online gallery. Orders and payments are handled online, so school does not need to collect envelopes, forms, cash or cheques.
School receives any agreed image files in the required format. Photographs ordered through galleries are fulfilled professionally. I deal with gallery and ordering questions wherever possible.
Straightforward for parents
-
Parents view their child’s photographs privately and order through a secure online gallery. Products, prices and ordering deadlines are presented clearly before they make a purchase.
-
A considered range of digital images, individual prints and print packs is available. Class and group photographs are supplied as prints. Orders can be delivered together to school where agreed, helping families avoid unnecessary individual postage costs.
-
Parents pay online and can direct gallery or order questions to me, reducing the amount of administration passed back to school staff.
Safeguarding, privacy and practical assurance
School photography involves trust, careful planning and responsible handling of pupil information. The following can be provided before booking or photo day:
· DBS information
· Public liability and professional insurance details
· Privacy and data-handling information
· A clear route for secure pupil-data transfer
· Arrangements for pupils who must not be photographed
· Confirmation of visitor, sign-in and safeguarding procedures
· Technical requirements for SIMS/MIS-ready image files, where requested
I work within the school’s safeguarding arrangements and remain appropriately supervised while pupils are present. Personal information and photographs are used only for the agreed purposes and handled in line with the school photography agreement and privacy information.

-- Primary SchoolA few practical questions
-
That depends on pupil numbers, the ages being photographed and which combinations your school needs. Before the day, I prepare a realistic schedule around your timetable rather than expecting school to adapt to a generic plan.
Younger pupils and those who need a little more support are allowed more time, while older pupils can usually move through more quickly. We’ll also account for registration, breaks, lunch and any immovable parts of the school day.
-
I’ll need a named school contact before the day and usually a member of staff to support pupil movement and safeguarding while photography is taking place.
The precise arrangement depends on the school layout and schedule. It will be agreed beforehand so staff know what is needed and there are no surprises on the day.
-
Some pupils are ready immediately; others need to watch first, receive simpler guidance or take a little longer to settle.
Please let me know about any particular pastoral, communication or accessibility needs that would help. I’ll adapt where possible while working within the time and safeguarding arrangements agreed with school.
-
Parents receive secure access instructions and view their child’s photographs through a private online gallery. They choose and pay for their order online, and the photographs are then fulfilled professionally.
School does not need to collect order forms, envelopes, cash or cheques.
-
We agree a secure method for transferring the minimum pupil information needed for the service. Sensitive pupil lists should not be sent through ordinary, unencrypted email.
A data-handling summary and privacy information are available, and any do-not-photograph restrictions are agreed before the day.
-
Yes. SIMS/MIS-ready image files can be supplied where required.
We’ll confirm the necessary filename, crop, dimensions and format beforehand so the files are prepared for the school’s system. This is treated as an agreed school service rather than part of parent sales.
